Senior Administration Officer: Records Office
Salary: R185 958 – R219 048 per annum plus benefits (Level 8)

Requirements: • Appropriate, recognised tertiary qualification (or equivalent) qualification (NQF L6) • Applicants with prior learning, either by means of experience or alternative courses may also apply • Knowledge of and skills in archives and mailing procedures (National Archiving Systems) • Record information and maintain a Document Control System • Good interpersonal and communication skills (verbal and written) • Administrative, analytical and organisational skills • Supervisory skills • Computer literacy • Ability to work under pressure and in a team • Ability to maintain a high level of confidentiality.

Duties: • Provide support and assistance with the development of effective workload processes • Capture all patient information on the Nootriclin system • Conduct in-service training of all administrative staff on a monthly basis • Provide an effective financial management system by ensuring optimal revenue generation according to the UPFS • Ensure that all account books/receipt books are organised • Manage petty cash monies and audit account and receipt books of all Clerks daily • Maintain the filing system • Keep proper track record of file movements • Open, close and record files according to the Archives Act • Audit all files quarterly • Establish a systematic Medical Records retention and destruction policy • Ensure the implementation of the Medical Records policies, guidelines and procedure manuals • Ensure/coordinate the fast and efficient handling of documents • Relieve where services are needed most and other tasks assigned to you by the supervisor, within the scope of practice.
