SUMMARY: The Office/HR Coordinator is responsible for efficiently running the daily operations of the office. Primary duties include overall office coordination, including office and kitchen supplies, vendor and supplier relationships, and meeting preparation. In addition, the Office/HR Coordinator provides direct support to the HR Department.

This position requires the ability to manage multiple tasks. The incumbent is to be a well-organized, resourceful individual, with impeccable customer service skills and who enjoys a workplace that is fast paced, collegial and professional.

DUTIES AND RESPONSIBILITIES: • All receptionist functions, including answering and transferring phone calls and greeting guests. • Manage office/kitchen supply needs • Coordinate charity registrations with designated consultant • Train staff on office procedures • Coordinate building repairs • Tracking and payimg building expenses • Notarizing documents • Coordinate storage of off-site documents • Manage contracts with vendors • Assist with catering for meetings • Schedule courier pick-ups • Manage incoming and outgoing mail and packages (Collect and meter outgoing mail; maintain postage balance in postage meter) • Work with the building management regarding any maintenance issues • Manage relationship with Kastle Systems and maintain authorization list of keys for office access • Order business cards and prepare office nameplates • Process all background checks and occasional reference checks • Process all payroll transactions • Manage transportation benefit accounts • Prepare for new and departing employees • Maintain documents containing all employee information • Other administrative duties and special projects as needed

QUALIFICATIONS: • Excellent oral and written communication skills • Highly organized with an attention to detail • Excellent customer service skills • Strong facility with Microsoft Office applications (Word, Excel, Powerpoint) • Ability to work independently, prioritize and multi-task • Ability to take direction and work well with others • Flexible and solution-oriented • Professional attitude and demonstrated ability to handle sensitive and confidential information
