Administrative Associate - UNOCHA (for Yemeni Nationals only)

The staff member will report on a daily basis to the Office of Coordination of Humanitarian Affairs (OCHA) Administration Officer (AO) on administrative duties. She/he supports and facilitates the work of the OCHA staff in particular in the Administration Unit.

Duties and Responsibilities

  • Draft routine correspondence and translations; act as interpreter when required.
  • Assist OCHA staff during their field trips/missions/travel– including preparation of government clearance, UNDSS clearance, travel arrangements, hotel reservations, process requests for visa and ensure all security measures taken prior to any field trip.
  • Assist the Head of Office (HoO) directly including organizing meetings and diary scheduling, drafting correspondence, preparing presentations, carrying out specific projects and research, taking minutes at meetings and other ad hoc duties as requested.
  • Maintain updated contact lists and directories of OCHA Staff.
  • Act as custodian for management of office stationary supplies including maintenance of stock list of stationery, distribution of stationery as required by staff and keeping a log of distribution.
  • Liaise with UNDP Yemen to ensure accreditation of international staff.
  • Assist the AO to process requests for National staff contracts to UNDP.
  • Perform Receipt and Inspection functions for all OCHA Yemen assets.
  • Handle preparation of OCHA payment requests and maintain the office budget monitoring.
  • Assist the AO with all procurement matters.
  • Manage the office transportation system.
  • Oversee the office premises management with UNDP.
  • Maintain automated filing system including Personnel files of all OCHA-Yemen staff and ensure safekeeping of confidential materials, and handling the Leave records requirements for OCHA-Yemen.
  • Perform any other relevant duties as assigned by the HoO

Required Skills and Experience

Education:

  • Secondary education and six years of working experience as office/Administrative assistant or related position.

Language:

  • Fluency in written and spoken English and Arabic is required.

Other Skills:

  • Basic knowledge of institutional mandates, policies, and guidelines related to humanitarian affairs; a good knowledge of United Nations system institutions.
  • Ability to work independently with minimum supervision, with efficiency, competence, and integrity, with people of different national backgrounds.
